Tour and Communications Coordinator

Description:
The Tour and Communications Coordinator (Coordinator) plays a vital role in supporting the planning, coordination, and execution of the Madison Trust’s summer tours and other tours/events, alongside handling essential social media and office responsibilities. This position is focused on ensuring smooth tour operations, assisting committees, and supporting ongoing communications efforts. This role requires strong organizational, communication, and interpersonal skills, and offers the opportunity to be involved in a dynamic, mission-driven nonprofit organization.
Summary of Key Responsibilities:
Tour Coordination (70%): Collaborate with the Program Director and Tour Committee to organize and execute summer tours. Duties include docent training, outreach, tour scheduling, brochure distribution, partner coordination, and handling changes or cancellations. Additionally, support special tour planning and assist with private tour requests.
General Office & Committee Support (15%): Provide administrative assistance, including maintaining records, responding to inquiries, preparing monthly reports, and attending Board meetings (as needed). Support the Advocacy Committee with issue tracking.
Social Media & Communications (10%): Maintain the Madison Trust’s social media presence, assist with e-newsletters, and contribute blog posts as needed.
Other Duties (5%): Foster positive relationships with members, volunteers, and tour partners, and perform other related tasks as needed.
Qualifications:
Excellent organizational, planning and interpersonal skills: ability to oversee multiple projects and volunteers
Excellent writing and communication skills
Must be professional, patient, and courteous when engaging with staff, volunteers, member, partners and the public
Demonstrated ability to prioritize and manage time effectively
Ability to establish and maintain effective and congenial working relationships
Proficiency with Microsoft Office (especially Word and Excel)
Comfort with or interest in learning digital tools (e.g., Google Drive; Dropbox; Ticket Tailor or other ticking software; Constant Contacts or comparable software; social media apps)
Ability to learn new applications as needed for the programs
Attend and take part in Board meetings if requested
Attend and take part in committee meetings if requested
Occasional need to work evening or weekend hours (such as during tours)
Marketing skills desirable
Supervision
Individual will be supervised by Program Director Jennifer Gurske (Director).
Work Location
The Madison Trust does not have a dedicated office. The coordinator will work from home while participating in Zoom and in-person meetings.

Position Details
Hours: 10 hours per week. The specific days and hours each week are flexible; although, daytime hours are preferred. Some weekends/nights will be required for certain meetings or tours.
Pay: $18 per hour and be paid every two weeks.
No benefits are included with this position.
Weekly check-in meetings are required to provide status updates to the Board of Trustees and Director.
